REFRACTIVE SURGERY COORDINATOR

JOB SUMMARY:
This individual serves as the coordinator for internal patient and external community information, providing prospective candidates information regarding refractive services and procedures available. Responsibilities include: The maintenance of referral records and corresponding communication, educational seminars, managing a database for inquires with appropriate contact tracking and coordinating and supervising the distribution of information, with a special emphasis on telemarketing.

MINIMUM JOB REQUIREMENTS:
Education and Experience:

  • Minimum High School Graduate with some additional formal study
  • Minimum 5 years work experience; medical office (ophthalmology) helpful but experience in retail customer service more important
Essential Skills and Abilities:
  • Excellent communication skills: proper grammar and letter writing ability essential; including superior telephone techniques and conversational capabilities. Interpersonal skills must be exceptional.
  • Computer literate (e.g., ability to use Word, Excel and Microsoft PowerPoint)
  • Ability to master basic medical and ophthalmic terminology and recognition of limitations
  • Able to prioritize and organize successfully; competent in problem solving and decision making.
  • Must be a team player with sales orientation.
  • Provides immediate problem solving when difficulties arise concerning patient referrals or general complaints.
  • Establish and update detailed records of all referring sources and those with the potential to refer.
  • Track all practice refractive optometric referrals and patient sources, establish baselines to measure effectiveness of referral incentives, public relations and advertising.
  • Assist with design for new campaigns and implementation techniques to target optometric referrals of desired refractive patient population.

Refractive Vision Correction Inquiries:

  • Mailing information packets with letter and requested information
  • Handling all questions and call back responsibilities
  • Discussing procedures with respective candidates at all screening consultations
  • Follow up entry information on screening and surgery
  • Coordinating surgery patients with business office, clinic, referring doctor's office and laser center
Database Management of Refractive Surgery Candidates:
  • Entering information (names, addresses, phone numbers, and screening info: Hx, Rx
  • Channeling candidates to next action step; updating record and tracking "next step" activities
  • Mail merges from database to prospective candidates to follow established contact timeline
  • Outcome information when appropriate for postoperative Refractive Surgery patients
Record management for Ambassadors Program (Refractive Surgery patients willing to provide testimonials)
  • Registration of patients after procedure, updating records
  • Coordinating all functions (program, invitations, letters, etc)
Staff Training:
  • Direction of Call Processing activities
  • CoManagement activities (forms, patient protocol, etc.)
  • Scheduling update staff seminars and refractive surgery education as appropriate
CoManagement Responsibilities:
  • Scheduling appointments OUT to referring OD/MD offices
  • Scheduling appointments in from OD/MD offices
  • Tracking referrals OUT to OD/MD offices (did the patient keep appointment?)
  • Tracking OD/MD referrals IN (receipt of all required documentation)
  • Coordinating all Co-Management activities with OD/MD offices\

A. TELEPHONE (25%)
  ALL ABOVE PROGRAMS
Informing callers of services and techniques available. Scheduling screenings and appointments in office, also new refractive correction appointments. Making out-of-office screening information available to callers. Being accessible (phone & fax) to local OD offices to schedule appointments. Being available for phone duty when special events are advertised. Returning all subsequent calls.

B. PATIENT COUNSELING (25%)
  ALL ABOVE PROGRAMS
Providing counseling consultation for free screenings and preoperative exams in office, also new refractive vision correction appointments. Assisting with refractive surgery patients on procedure day.

C. DATA PROCESSING AND DATABASE MANAGEMENT (20%)
  ALL ABOVE PROGRAMS
Computer entry, update

D. SPECIAL PROJECTS (30%)
  Updating refractive surgery mailing lists. Assisting doctor on weekly refractive surgery screenings. Writing thank you notes to patients and other individuals who have referred patients to the practice or laser center. Processing mailing labels available for special mail-outs.
